Job description

Our client is a Holding Company based in Paphos looking to hire a Personal Assistant for the Director of the company who will also assume duties as the Office Administrator.


Responsibilities as a personal assistant of the Director:

Planning the manager's working day (keeping a calendar, organizing meetings, reminding the events and activities of various kinds)

Organization of trips in Cyprus and abroad (travel, ordering a taxi and hotels, catering, and paperwork)

Management of office work of the Director and his family

Maintaining communication on assigned tasks

Providing the manager with all the necessary information upon request

Work with the manager's documents, in particular with incoming letters and calls

Conducting initial negotiations on the tasks set

Translation of documents

Fulfillment of various requests


Responsibilities as the office administrator:

Preparation of the office for the working days: connecting office equipment and preparing it for operation, providing the office with stationery and consumables

Preparing and controlling the budgets for the office expenses

Supporting the contractual process for the following routines: stationery supplies, consumables, other inventory items necessary for the office; maintenance and repair of office equipment; other services

Ensuring cleanliness and readiness in the office premises

Control over the correct operation of office equipment and the rational use of stationery and consumables in the office

Monitoring of the contacts with maintenance services, utilities authorities

Ensuring proper maintenance and operation of the office premises

Organization of trips of the office employees, ordering air and railway tickets, dispatching vehicles

Maintaining the schedule of office vacations

Keeping minutes of the office meetings

Organization of office work, receiving incoming calls and managing outgoing calls

Preparation and assistance in organizing and conducting of internal and external meetings, negotiations with partners, clients, and other categories of visitors

Carries out individual service assignments

Prepares the office for closure (turns off lighting and office equipment, etc.


Requirements:

Strong command of Russian and English

Work experience in a similar position for at least 3 years

High learning ability

Multi-tasking

Positive thinking

Resistance to stress

Ability to work in all main Microsoft Office programs

High printing speed

Literacy

The ability to conduct office work and maintain the correspondence

Communication skills, competent, well-delivered speech

Higher education

Working hours:
