Advance Career, on behalf of our client, an International Holding Company with operations in Real Estate and Investments in Paphos, is seeking to recruit a PA / Office Administrator;

Job Duties

  • Planning the manager’s working day (keeping a calendar, organizing meetings, reminders for different events and activities)
  • Organize trips in Cyprus and abroad (travel, ordering a taxi and hotels, catering, and paperwork)
  • Management of office work of the Director and his family
  • Maintaining communication on assigned tasks
  • Providing the manager with all the necessary information upon request
  • Work with the manager’s documents, in particular with incoming letters and calls
  • Conducting initial negotiations on the tasks set
  • Translation of documents
  • Ensuring that all office administrative functions are coordinated – purchasing office supplies & equipment
  • Prepare regular reports on expenses and office budgets
  • Ensuring cleanliness and readiness in the office premises
  • Monitoring the contacts for maintenance services & utilities authorities
  • Maintain the office condition and arrange necessary repairs
  • Address employees’ queries regarding office management issues (e.g. stationery, hardware and travel arrangements)
  • Maintaining the schedule of office vacations
  • Keeping minutes of the office meetings
  • Handle correspondence – receiving incoming calls and managing outgoing calls
  • Preparation and assistance in organizing and conducting internal and external meetings, negotiations with partners, clients, and other visitors

Job Requirements

  • Degree/Diploma in Office Administration/Business Administration / Secretarial or related Studies
  • Strong command of the Russian and English languages
  • Previous experience in a similar role for at least 3 years
  • Ability to multitask and work under pressure
  • Computer Literate
  • Strong communications/public relations and organizational skills.
