Job Description

Advance Career, on behalf of our client, a FinTech Organisation, is looking to recruit a Receptionist/Administrator;

Responsibilities:
Serve as the point of contact person for the office
Schedule meetings and appointments
Handle external or internal communication and queries
Prepare letters and reports
Manage databases
Provide general support to visitors
Organize the office layout and order stationery and equipment
Coordinate with IT department on all office equipment
Liaise with facility management suppliers and service providers
Maintain the office condition and arrange necessary repairs
Implement and maintain office operations and procedures
Assist in the organisation's HR function by keeping personnel records up to date and arranging interviews
Manage office Petty Cash, ensuring accurate and timely reporting and payment
Balance petty cash funds weekly
Process internet banking and payments daily and deal with payment queries
Liaise with financial institutions
Request funds for payments
Check invoices for all necessary payment details
Ensure invoices for payment have Head of Department approval
Submit supporting documentation (e.g. invoices) to payment processors/banks upon request
Send confirmation of payment to relevant parties

Required Qualifications

Qualifications:
Proven experience as an Office Administrator or Administrative assistant
Knowledge of office administrator responsibilities, systems and procedures
Proficiency in Microsoft Office (Particularly Microsoft Excel, Microsoft Word and Microsoft Outlook)
Hands on experience with office machines (e.g. fax machines and printers)
Excellent time management skills and ability to multi-task and prioritize work
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
Excellent knowledge of the English and Greek language both written and verbal
Strong organizational and planning skills
High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
